  • Personal Income Tax Preparation

    All prospective clients are asked to contact our firm by either calling (703) 491-1298 or emailing an inquiry to firm@cayerecpas.com. Upon receiving contact, we will provide general information and send you a Personal Income Tax Self-Assessment Form. 


    The purpose of the form is to provide you with information so you may determine on your own time if you would like to pursue a relationship with our firm. Completion of this form is not an agreement or a quote to prepare income tax returns; it is simply a tool to allow you to determine if you would like to begin a relationship with our firm.


    Since personal income tax situations are personal, actual fees that are charged ultimately depend on your specific situation, number of transactions, type of transactions, complexity of the return, and extra time spent researching and resolving issues.


    Once completed, your self-assessment form should be returned to us via email to firm@cayerecpas.com or via fax to 703-491-4522. Once received, the information will be reviewed and one of our tax professionals will follow up to discuss your needs, set expectations, and discuss the next steps.


    For our first year preparing a new client's return, we prefer a face-to-face meeting with a tax professional. It is important for us to determine if we are capturing all information necessary to prepare a complete and accurate return. This visit allows us to both accomplish that goal and get to know you better.

  • Personal Income Tax Consultations

    We offer consultations for those who want to address specific tax-related issues, such as federal or state tax problems, retirement, or sale of a home. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    After the initial consultation, if a relationship is mutually desired, prospective clients are asked to sign a Client Services Agreement to acknowledge our policies and fees before we move forward.


    Any future consultations will be billed at the professional’s current hourly rate. From time to time, the rates are subject to change without notice.


    If you wish to engage us to prepare your personal tax returns after your consultation, we will email you a copy of this packet so you can review the information above and complete the necessary forms.

  • Estate Income Tax and Trust Income Tax Returns

    For estate and trust income tax returns, we require an initial consultation to discuss your estate or trust, answer your questions, determine the required filings, and analyze the complexity of the necessary returns. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    During the consultation, an estimate of the fee will be discussed. If we move forward with an engagement to prepare the returns, the consultation fee will be credited toward your tax preparation fee.


    As with all other engagements, we will prepare and send you an engagement letter that will need to be acknowledged for us to move forward.

  • Gift Tax Returns

    For gift tax returns, we require an initial consultation to discuss the gift(s), answer your questions, determine the required filing, and analyze the complexity of the necessary return. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    During the consultation, an estimate of the fee will be discussed. If we move forward with an engagement to prepare the returns, the consultation fee will be credited toward your tax preparation fee.


    As with all other engagements, we will prepare and send you an engagement letter that will need to be acknowledged for us to move forward.

  • Tax Controversy, Audit Consultation, and Representation

    Our firm provides Tax Controversy services for both businesses and individuals.


    For such engagements, we require an initial consultation to discuss your needs, determine the level of service, and analyze the complexity of the engagement. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    During the consultation, an estimate of the fee will be discussed. All fees are influenced by the complexity of the project and the level of effort required, and are billed on an hourly basis at current firm rates.


    If we move forward with an engagement, we will prepare and send an engagement letter that will need to be acknowledged and the consultation fee will be credited toward your final fee.

  • Business Consultations and Other Business Services

    Prospective business clients or those who have business-related questions may schedule a consultation. This consultation serves to discuss your business or potential business, answer your questions, and discuss your needs. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    After the initial consultation, if a relationship is mutually desired, prospective business clients are asked to sign a Client Services Agreement to acknowledge our policies and fees before we move forward.

  • Business Entity Tax Returns

    Our firm prepares Corporate, S Corporate, and Partnership business entity tax returns for corporations, partnerships, and limited liability companies.


    For business entity tax return preparation engagements, we require an initial consultation to discuss your needs, answer your questions, determine the required filings, and analyze the complexity of the necessary returns. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    During the consultation, an estimate of the fee will be discussed. All fees are influenced by the complexity of the returns and the level of effort required, and are billed on an hourly basis at current firm rates.


    If we move forward with an engagement, we will prepare and send an engagement letter that will need to be acknowledged and the consultation fee will be credited toward your final fee.

  • Preparation, Compilation, & Review of Financial Statements

    Our firm provides the following services related to financial statements: Preparations with and without disclosures, Compilations with and without disclosures, and Reviews.


    For accounting engagements, we require an initial consultation to discuss your needs, determine the level of service, and analyze the complexity of the engagement. The initial consultation fee is billed at a flat rate and may last up to 2 hours.


    During the consultation, an estimate of the fee will be discussed. All fees are influenced by the complexity of the project and the level of effort required and are billed on an hourly basis at current firm rates for such engagements.


    If we move forward with an engagement, we will prepare and send an engagement letter that will need to be acknowledged and the consultation fee will be credited toward your final fee.

  • Engagement Administration

    After our initial contact, we can better assess your needs, the amount of work involved, and expectations of an engagement.


    We will provide services in good faith, with due professional care, and by observing all the profession’s and tax authorities’ (Federal, State, and Local) ethical standards, rulings, interpretations, rules of conduct, and the standards for accounting and tax practices.


    For all engagements we will provide an engagement letter which will outline in detail the scope of the project and the responsibilities of all parties.

  • Preparing for Tax Season

    As discussed above, we will provide engagement letters for all tax engagements. These engagement letters are necessary to establish the scope of the engagement, the terms, responsibilities, and fees. The purpose is to set expectations for everyone.


    Organization of your tax information will assist us being able to provide an efficient and effective engagement process. If providing paper documents, please do not staple them.


    For Personal Tax returns, supporting tax documents should be arranged in the sequence followed by the tax organizer.


    For Business Tax returns, your books and records should be up to date, reconciled, and provided either through accounting software or fully printed financial statements and supporting ledgers and journals. The method of delivery will be discussed in detail with one of our business tax professionals.


    We strive to serve all clients in a timely manner. However, in recent years late year tax changes affecting filing software and IRS delays have compacted the tax filing season. We best serve clients when all supporting documentation is submitted before we begin working on a return. If you expect to receive corrected tax documents or to receive documents late in the filing season, you should discuss this with our firm. We will evaluate the situation and determine the best approach to meet your needs and filing requirements.


    In some cases, we may recommend that a client file a request to extend the filing date of their tax returns. Clients granted an extension of time to file are required to pay any balance due by the original filing due date. We can work with clients to estimate the balance due on the return and prepare the extension and the recommended payment. We can discuss this process with you prior to the filing deadline.

We encourage communication. We appreciate when clients consult our firm when contemplating actions that may affect their tax situation. Setting expectations and understanding the impact before entering into situations can help with the decision-making process!


Financial decisions often have significant tax consequences. It is better to pay a fee for sound advice than to be surprised with a tax liability that might have been avoided.
